Privacy Policy
Applying to rent means trusting us with sensitive information. This policy explains what we collect, why, who we share it with, how long we keep it, and how to reach us about it.

Information we collect
To evaluate applications and manage tenancies, we collect information that is more sensitive than a typical website form, including:
- Identity and contact details (name, address, phone, email, date of birth)
- Social Security number and government-issued ID scans
- Income documentation (pay stubs, offer letters, tax returns, benefit statements)
- Bank statements and employment verification
- Credit reports, background reports, and rental history
- Emergency contacts, vehicle, and occupant information
- Website usage data via cookies (see our Cookie Policy)
How we use it
- To evaluate rental applications against our Tenant Selection Criteria
- To prepare leases and manage tenancies (rent, maintenance, communication)
- To comply with legal, tax, and fair-housing recordkeeping obligations
- To detect fraud and verify identity
Who we share it with
We do not sell your personal information. We share it only as needed with:
- AppFolio, Inc., our property-management and applicant-portal platform, which processes applications and conducts screening through its integrated consumer reporting partners on our behalf
- Payment processors for rent and fees
- The property owner for whom we manage the home, on a need-to-know basis
- Government agencies, courts, or advisors when required by law
How long we keep it
- Approved applicants / residents: for the duration of the tenancy plus 7 years after move-out, consistent with Pennsylvania contract and landlord-tenant record-keeping requirements.
- Denied applications: retained for 3 years to document fair, consistent decision-making in accordance with HUD fair housing recordkeeping guidance, then securely destroyed.
- Abandoned / incomplete applications: retained for 1 year, then securely destroyed.
How we protect it
We use administrative, technical, and physical safeguards appropriate to the sensitivity of the data, including restricted access, encryption in transit through our vendors' platforms, and secure destruction of records we no longer need. No system is perfectly secure, but we work to protect your information.
Breach notification
If a breach of unencrypted, computerized personal information occurs, we will notify affected individuals consistent with Pennsylvania's Breach of Personal Information Notification Act (73 P.S. § 2301 et seq.) and any other applicable law.
Children's information
Our website and applications are directed to adults. We do not knowingly collect personal information from children under 13 through this website. Occupant information about minors provided by an applying adult is used only to administer the tenancy.
Accessing, correcting, or deleting your information
To ask what we hold about you, to correct it, or to request deletion where the law allows, contact us at info@ws-pm.com or 717-326-1767. We may need to verify your identity and may retain information the law requires us to keep.
Biometric / facial-recognition data
We do not currently use biometric or facial-recognition identity verification.
